Before an assistant responds, we define which questions it should handle and which content is authoritative. Frequently asked questions, service descriptions, product information, internal documents or established procedures are structured and assigned clear ownership.

The chatbot is allowed not to know.
If a question falls outside its scope, important details are missing or sources conflict, the assistant should make that visible. It can ask a focused question, decline to answer or hand the conversation to the appropriate person. Reliability matters more than a confidently phrased guess.

Depending on the audience, the assistant can be available on a website, in an internal interface or through a messenger such as WhatsApp. The right integration depends on the use case and on the technical and business requirements of the selected channel.

A clearly limited question domain forms the basis of the first prototype. Using realistic examples, we test whether the assistant finds relevant information, responds clearly, recognises its limits and hands conversations over correctly.

Knowledge does not stay current by itself.
Before the assistant is used, it must be clear who updates its content, how unanswered questions are reviewed and which conversation data may be stored. Updates, privacy and operation are therefore part of the concept from the beginning and are defined for the specific project.

A complete knowledge base is not required at the beginning. A representative selection of real questions and approved content is enough to develop a clearly limited, testable prototype.
